Email and Communication Tips

Every day we receive a large amount of email, some of it is flattering, some of it questions or descriptions of missing features, and most of it is of a constructive nature.

As a company rule we try to answer to all email within 1 hour of arrival, sometime when we do need to do some research we could take a little bit longer but generally everything is answered on the same business day.

Sometimes we get email that simply leaves us scratching our collective heads, apparently this is a common phenomenon in the software industry best documented by Raymond Chen at Microsoft

After receiving one too many of those emails we decided to put together a wiki page on how to communicate with us

Nostalgic emails

We get Nostalgic emails daily, these are typically peoples recollection of some events or some particular feature from other software applications

 
I remember in Application X, we used to be able to accomplish Task Q by clicking on W and then selecting X. 
Now you have to click on Y and select Z.

Ok, it is nice to know that this feature worked that way in that application. But what is your question? What are we supposed to do ? Do you want My Money to have a similar feature, or you are just reminiscing? Or maybe you're congratulating the design team for simplifying the task?

We can't act on a request if it isn't actionable. Like Raymond explains if you tell us that you are thirsty we don't really know whether you would like a glass of water or you are just venting. We greatly prefer you telling us exactly what you want and what you expect, we can analyze it and then act on it.

Fox News emails

Those are the emails that are making very broad, often strange statements without backing it up with any kind of evidence.

 
This thing produced dozens of Java errors before I was able to enter a single transaction.

Similar to Nostalgic email we are not sure what to do. What was the question? How do we reproduce dozens of errors ? What kind of operating system was used, how much memory the computer had, there are so many parameters that could lead to a particular situation that we don't even know where to start.


As a company MTH Software has made a commitment to customer service. We try to understand every single issue no matter how small it may it seem, we always remember that quote attributed to Gandhi:

A customer is the most important visitor on our premises. He is not dependent on us. We are dependent on him. He is not an interruption in our work - he is the purpose of it.We are not doing him a favor by serving him. He is doing us a favor by giving us the opportunity to serve him.


We just ask for a bit more clarity while communicating with us.
